Payment and Refund Policy

Life rarely follows an outline.

Illness happens. Family responsibilities arise. Inspiration arrives unexpectedly, and sometimes it disappears just as quickly. Manuscripts grow in new directions, schedules change, and circumstances shift.

This policy exists to create clarity before we begin working together. My hope is that we never need to rely on these guidelines—but if plans do change, you’ll know exactly what to expect. Clear expectations help us treat one another with fairness, respect, and kindness.

‍ ‍Scheduling Your Project

Projects begin once we have:

  • Agreed on the scope of the project;

  • Signed any required agreements; and

  • Received any required payment or deposit.

Estimated timelines are provided in good faith. While every effort is made to meet those timelines, they may occasionally need to be adjusted if unexpected circumstances arise. If that happens, I will communicate with you as soon as possible.

Quotes & Estimates

Custom quotes are based on the information available at the time they are prepared.

Quotes are valid for 30 calendar days unless otherwise stated.

If the scope of the project changes before work begins, a revised quote may be required.

Payment

Payment terms will be outlined in your invoice or Client Service Agreement.

Depending on the project, payment may be due:

  • in full before work begins,

  • as a deposit with the remaining balance due later, or

  • according to an agreed-upon payment schedule.

Work will generally not begin until any required payment has been received.

Cancellations Before Work Begins

If you decide not to move forward before work has started, please let me know as soon as possible.

  • If no work has begun and no non-refundable deposit applies, payments may be refunded in full.

  • If a non-refundable deposit was required and disclosed before purchase, that deposit will not be refunded.

  • Any payment processing fees that cannot be recovered may be deducted from the refund where permitted by law.

Cancellations After Work Has Begun

Creative services involve time, preparation, and thoughtful attention that cannot be recovered once work has started.

If you choose to cancel after work has begun:

  • You are responsible for payment for work already completed.

  • Any remaining unpaid work will not be completed unless otherwise agreed.

  • If appropriate, completed work may be delivered to you.

Partial refunds, when applicable, are determined based on the amount of work completed at the time of cancellation.

Coaching Appointments

If you need to reschedule a coaching session, please provide at least 24 hours’ notice whenever possible.

I understand that emergencies happen. If something unexpected arises, please reach out as soon as you are able, and we will work together to find a new time whenever reasonably possible.

Repeated missed appointments without notice may result in forfeiture of that session.

If Moon Moth Magic Needs to Reschedule

Occasionally, illness, emergencies, or unforeseen circumstances may require me to reschedule a project or appointment.

If that happens, I will:

  • Notify you as soon as reasonably possible;

  • Offer a new appointment or revised timeline; and

  • If I am unable to provide the agreed-upon service, issue an appropriate refund for any uncompleted work.

Scope Changes

Sometimes projects grow.

Additional chapters, significant rewrites, expanded coaching goals, or new requests may change the scope of our original agreement.

If that happens, we’ll pause to discuss the changes before moving forward. Any additional work, revised timelines, or updated pricing will be agreed upon before that work begins.

Client Inactivity

If I do not receive requested materials, responses, or approvals for 60 days, your project may be placed on hold.

If there is no communication for 90 days, the project may be considered closed.

Reopening a closed project may require a new timeline, updated pricing, or a new agreement.

If you anticipate being away for an extended period, simply let me know. Communication goes a long way, and I’m happy to work with you whenever possible.

Digital Products

Unless otherwise required by law, digital products—including downloadable resources, templates, worksheets, and workbooks—are non-refundable once they have been accessed or downloaded.

If you experience a technical issue with a digital product, please contact me so I can help resolve it.

Exceptional Circumstances

I understand that life sometimes brings situations beyond anyone’s control.

If extraordinary circumstances arise, I reserve the right to make reasonable exceptions to this policy when appropriate. My goal is always to approach these situations with fairness, compassion, and good communication.
